Step by step

  1. Step 1: Record the month’s receipts and payments

    Each receipt goes to an income account and each payment to an expense account, such as rent, salaries or repairs. Confirmed UPI payments are already there.

    What the others see: An entry that does not balance is refused, saying by how much.

  2. Step 2: Check the trial balance

    Every account and its balance, and whether the books balance.

    What the others see: Recording receipts and payments asks the treasurer for a second factor, so a stolen password is not enough.

  3. Step 3: Read the income and expenditure

    The financial year so far, income against expenditure, for the parish council.

    What the others see: Opening balances carried in when the books began here are included.

  4. Step 4: Check the GST summary

    GST owed, and on what.

    What the others see: The accounts can be exported for the parish’s accountant.

  5. Step 5: The auditor reads the books

    The auditor reads every account, report and change, and can alter none of it.

    What the others see: The auditor never sees the parish directory.

A month closed with balanced books, its reports ready, and an audit that needs no copies.
